We collect information you provide directly, information collected automatically, and information from third parties:
Account information: name, email address, mobile number, role (teacher, parent, student, driver, admin), school name and branch.
Student data: attendance records, exam marks, fee transactions, and profile images — entered by school staff on behalf of students.
Location data: GPS coordinates from driver devices during active school bus trips, used solely to display live tracking to parents and the school office.
Device information: device type, operating system version, push-notification token, and app version — used for notifications and support.
Usage data: pages visited, features used, timestamps, and error logs — used to improve the platform.
Communications: messages sent through the in-app chat feature between parents and teachers.
2. How We Use Your Information
To provide, maintain and improve the Services.
To send push notifications, SMS and email alerts related to your school account (attendance, fees, bus tracking, exam results).
To enable real-time school bus tracking for parents and school staff.
To process fee payments and generate receipts.
To respond to support requests and troubleshoot issues.
To comply with legal obligations.
We do not sell your personal data to third parties. We do not use student data for advertising.
3. Data Sharing
We share data only in the following circumstances:
Within your school: School administrators can see data for their enrolled students, teachers and parents. Parents see only their own children's data.
Service providers: We use third-party services for cloud hosting, SMS delivery, push notifications (Firebase FCM) and payment processing. These providers process data only as necessary to deliver the service.
Legal requirements: We may disclose information if required by law, court order or to protect the rights and safety of our users.
4. Data Security
We implement industry-standard security measures including:
Encryption in transit (TLS 1.2+) and at rest.
Role-based access control — each user sees only what their role permits.
Rate-limiting on authentication endpoints to prevent brute-force attacks.
Audit logs for all sensitive administrative actions.

5. Data Retention
We retain personal data for as long as your school account is active and for a reasonable period thereafter to comply with legal obligations. When a tenant account is deleted, all associated student, staff and parent data is permanently removed from our systems within 30 days.
6. Children's Privacy
NovaClassHub is a school management tool used by educational institutions. Student data (including for children under 13) is entered and managed by school staff under the school's data-controller responsibility. We process such data as a data processor on behalf of the school. Schools are responsible for obtaining any necessary parental consents required by local law.
7. Your Rights
Depending on your location, you may have the right to access, correct, delete or restrict processing of your personal data. To exercise these rights, contact your school administrator or email us at support@novaclasshub.com.
8. Cookies
Our website uses only essential session cookies and no third-party tracking cookies. Our mobile apps do not use cookies.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify active users of material changes via email or in-app notification. Continued use after notice constitutes acceptance of the updated policy.
